Trusted Books & Records (“TBR”) may collect personal information when you contact us, request a consultation, or subscribe to updates. Please do not submit banking credentials, tax identifiers, or financial records through the website's initial contact or intake forms.

What we collect

  • Intake, contact, and booking requests: name, email, phone, and details about your books or tax situation.
  • Newsletter: email address, after you opt in (CASL).
  • Technical logs needed to run and protect the site, including error reports.

Where data is stored

TBR is a Canadian practice. Our website and connected services may process information outside Canada. The location of client financial records is established in each engagement and should not be inferred from the website's hosting location. We will identify relevant service providers and processing locations before collecting client financial records through a connected system.

  • Hostinger — website hosting.
  • Calendly — consultation booking when you choose its booking link.
  • Additional providers, including email delivery, AI, or SMS services, may be used only when the corresponding feature is enabled. This notice must be updated to identify those providers and the information sent to them before launch.

PIPEDA

We use personal information to respond to your request, quote bookkeeping work, and — if you opt in — send email updates. We do not sell your information. You can ask to see or correct information we hold about you, or withdraw newsletter consent, by calling 705-400-9343 or emailing info@trustedbr.ca.

How long we keep it

Business records generally must be retained for six years from the end of the last tax year to which they relate; some records require a different period. The retention schedule for each client engagement will reflect the applicable requirements.

For inquiries that do not become client engagements, our intended retention period is no more than twelve months from the initial contact. This period and the deletion process must be verified against the live systems before this site becomes the primary intake channel.

If you subscribe to updates, we keep your email address while you are subscribed and process unsubscribe requests. The newsletter must not be enabled until consent, unsubscribe, and deletion behaviour have been tested.
